3.7. Classes

Go to: Home > Classes

Steps:

  1. Click Add New Class.
  2. Set class name, teacher, schedule, and fee.
  3. Save class.
  4. Open class tabs to add students and timetable details.

Class Type Guide (Monthly vs Annually vs Subscription)

When creating or editing a class, choose the class Type based on how you want fees to be billed.

Available types:

  1. Monthly (system code: monthly)
  2. Annually (system code: yearly)
  3. Subscription (system code: subscription)

Note: it is Subscription, not Succession.

1) Monthly

Use when:

  1. Students are billed every month.
  2. Class runs on a regular monthly cycle.

How system charges:

  1. The system tracks fee periods by month (YYYY-MM) per student.
  2. Unpaid month appears in outstanding.
  3. Once paid, the same month will not be chased again.

How to set:

  1. Type: Monthly
  2. Fee: monthly fee per student
  3. Start Date: class start month
  4. End Date: leave blank if open-ended, fill if class has a fixed end

Suggested wording for users:

  • This class is billed monthly. A new monthly bill is generated each month, and paid months will not be billed again.

2) Annually

Use when:

  1. Fees are collected once per year.
  2. Program is annual membership or yearly package.

How system charges:

  1. The system tracks fee periods by year (YYYY) per student.
  2. If paid for the same year, it will not show as outstanding again for that year.
  3. A new outstanding period appears when a new year starts.

How to set:

  1. Type: Annually
  2. Fee: yearly fee per student
  3. Start Date: effective date
  4. End Date: optional, based on class duration

Suggested wording for users:

  • This class is billed once per year. The payment status is tracked by year.

3) Subscription

Use when:

  1. Billing should follow custom charge dates.
  2. Billing should not follow natural month/year cycles.

How system charges:

  1. After selecting Subscription, set Credit.
  2. Save class, then configure Date #1, Date #2, and so on in edit mode.
  3. Current outstanding logic mainly uses Date #1 as the main period trigger.
  4. When charge date is reached and unpaid, it appears in outstanding.
  5. Once paid for that period, it will not be chased again.

How to set:

  1. Type: Subscription
  2. Fee: fee amount per subscription charge point per student
  3. Credit: number of date points to manage
  4. Save class and fill charge dates in edit page (Date #1 is required and must be accurate)

Suggested wording for users:

  • This class is billed by custom subscription dates, not by calendar month or calendar year.

Fee Input Quick Rule

  1. Monthly: enter monthly fee per student.
  2. Annually: enter yearly fee per student.
  3. Subscription: enter fee per subscription charge point per student.
  1. Normal monthly collection: choose Monthly.
  2. One payment per year: choose Annually.
  3. Custom date-based billing: choose Subscription.

Go to: Home > Classes > Import Classes

Steps:

  1. Prepare class import file in template format.
  2. Upload class data file.
  3. Validate preview.
  4. Finalize import and verify teacher/class assignments.
