3.9. Attendance

This guide explains the main attendance workflows in the web admin system.

A) Self Check-in Attendance

Go to: Home > Attendance > Daily

The self check-in system supports:

  • Student Card Check-in
  • QR Code Check-in

Student Card Check-in

This method is suitable for physical classes and centre check-in.

Students can scan their student card to check in and check out automatically.

Important:

  • Student cards need to be purchased separately.
  • Each card must be linked to a student profile before use.

Go to: Home > Students > All Students

Steps:

  1. Select a student profile.
  2. Find the Card ID field.
  3. Click the Card ID input box.
  4. Scan the student card once.
  5. Confirm the system saves the Card ID.

Tips:

  • You do not need to set up all cards at once.
  • You can set up cards only when you are ready to issue them.

Example:

  • If you have 100 students, you do not need to configure 100 cards immediately.
  • You may configure cards one by one whenever a new card is issued.

Important:

  • Centres may collect a refundable deposit when issuing a student card.
  • If the card is returned in good condition, the deposit may be refunded.
  • If the card is lost, the student may need to pay for a replacement card.

Expected result:

  • The student card is linked to the profile and ready for attendance scanning.

Card Attendance Behaviour

When students scan the card on the attendance page:

  • The system automatically records attendance.
  • Odd number scans = Check In
  • Even number scans = Check Out

Example:

  • First scan = Check In
  • Second scan = Check Out
  • Third scan = Check In again

Important:

  • Students are not required to scan out.
  • As long as there is at least one successful check-in record, the student is still considered attended.

Parent Notification and Sound

If attendance notification is enabled in settings:

  • Parents automatically receive attendance notifications after check-in.

Optional sound features are available:

  • Play sound during successful attendance check-in
  • Enable voice or echo sound effect
  • Use different sound effects for successful and failed attendance

QR Code Check-in

This method is suitable for:

  • Online classes
  • Zoom classes
  • Screen sharing attendance

Teachers may display the QR code on screen and students can scan it using their phone.

The system records attendance automatically after a successful scan.

QR Attendance Access and Display

Go to: Home > Attendance > Daily

Steps:

  1. Open the Attendance > Daily page.
  2. Make sure the QR code is visible on the page.
  3. Leave this page open and let students scan the QR code directly from the screen.

You can display this page on:

  • a reception computer
  • a tablet
  • a monitor near the entrance

Tips:

  • Keep the Attendance > Daily page open during arrival time.
  • Place the screen at the entrance or front desk for easy scanning.
  • Staff do not need to open any extra device record or generated link.

Important:

  • No separate device setup is required for this workflow.
  • Staff should use the QR code shown directly on the Attendance > Daily page.

Expected result:

  • The QR code is visible on the attendance page and ready for student scanning.

Student QR Scanning

Steps:

  1. Ask the student to open the Synorex Tuition app on their phone.
  2. Ask the student to scan the QR code shown on the attendance screen.

Expected result:

  • The system records attendance immediately.
  • The student sees a success confirmation.
  • The scan registers either Check In or Check Out based on the student's latest attendance status for that day.

Important:

  • The first successful scan of the day usually records Check In.
  • The next successful scan usually records Check Out.
  • Parents or linked users may also receive a check-in or check-out notification if attendance notification is enabled.

Attendance Record Checking

Go to: Home > Reports > Daily Attendance

Use this screen to confirm:

  • who has checked in today
  • exact check-in or check-out times

Go to: Home > Reports > Monthly Attendance

Use this screen to review attendance across the whole month.

Go to: Home > Reports > Student Attendance

Use this screen to review one student's attendance over a selected date range.

Go to: Home > Attendance > Classes

or

Home > Reports > Student Attendance (Class)

Use these screens when the team wants to review attendance from a class perspective.

Before students arrive:

  1. Open the QR attendance device link on the front desk screen.
  2. Make sure the correct QR code is visible.
  3. Confirm the device is active and the page is loading normally.

When students arrive:

  1. Ask students to open the Synorex Tuition app.
  2. Ask them to scan the QR code.
  3. Confirm attendance in Reports > Daily Attendance if needed.

During the day:

  1. Use Daily Attendance to monitor who has checked in.
  2. If a student cannot scan, record attendance manually using the attendance tools.

At the end of the day:

  1. Review Reports > Daily Attendance for final same-day checking.
  2. Use Monthly Attendance or Student Attendance if management needs a broader summary.
  3. Use Attendance > Classes if the team also tracks class-based attendance separately.

Common QR Attendance Issues

Important:

  • Students should scan the QR code using the Synorex Tuition app, not a normal phone camera.
  • If the QR screen does not work, check the device record and confirm it is still marked Active.
  • The QR page should remain open on the attendance screen during arrival time.
  • The system alternates between check-in and check-out based on the student's existing attendance records for the day.
  • If a student cannot scan, staff can use the attendance module to record attendance manually.
  • If parents want alerts, confirm attendance notification for student check-in and check-out is enabled in settings.
  • If the branch also uses class-based attendance, review the correct screen depending on whether you want daily arrival records or class attendance records.

B) Teacher Manual Attendance

Go to: Home > Attendance > Classes

If self check-in is not used, teachers may mark attendance manually.

Steps:

  1. Select the class.
  2. Select the date or month.
  3. Review the student list.
  4. Mark attendance manually.
  5. Save attendance.

Expected result:

  • Attendance is recorded for the selected class and date.

Attendance Page Behaviour

By default:

  • the system shows all classes for today

You may also:

  • filter by another date
  • view previous attendance records

After selecting a class:

  • the student list for that class appears
  • teachers only need to mark attendance for that class

C) Manual Attendance Adjustment

Go to: Home > Attendance > Manually

Steps:

  1. Search by user and date.
  2. Add or correct the attendance record.
  3. Save changes.

Expected result:

  • The selected attendance record is updated correctly.

D) Absent Submission

Go to: Home > Attendance > Absent Submit

Steps:

  1. Review absent submissions.
  2. Approve or process remarks.
  3. Save updates.

Expected result:

  • Absent submissions are reviewed and updated correctly.
